1. Studio Wand's Role: Controller vs. Processor

To understand this policy, it is important to understand our role regarding the data we handle:

For Studio Owners & Administrators: When you create an account, pay for our services, or communicate with us, Studio Wand acts as a Data Controller for your account information.

For Students & Parents: When a studio inputs records, schedules, or payment details regarding their students into our platform, the studio owner is the Data Controller, and Studio Wand acts as a Data Processor. We only process student data based on the instructions of the studio owner.

2. Information We Collect

We collect information in three ways: information you provide to us, information collected automatically, and information we process on behalf of studio owners.

A. Information You Provide to Us (As a Studio Owner)

  • Account Information: Name, email address, phone number, studio name, and login credentials.
  • Billing Information: Credit card numbers, billing address, and transaction history (processed securely through our third-party payment processors).

B. Information Processed on Behalf of Studios (Student & Parent Data)

Student names, ages, enrollment records, attendance logs, parent/guardian contact details, and emergency contact information.

C. Information Collected Automatically

  • Usage Data: IP addresses, browser types, operating systems, pages viewed, and the dates/times of your visits.
  • Cookies: We use cookies and similar tracking technologies to keep you logged in and understand how you interact with our platform.

3. How We Use Information

We use the information we collect to:

  • Provide, maintain, and improve the Studio Wand platform.
  • Process payments and prevent fraudulent transactions.
  • Send administrative messages, feature updates, and support responses.
  • Enforce our Terms and Conditions.

We do not sell student data or studio database records to third parties.

4. How We Share Information

We share your information only in the following limited circumstances:

  • With Service Providers: We share data with third-party vendors who help us run our service (such as AWS for hosting, Stripe for payment processing, and email delivery services). These vendors are contractually obligated to keep your data secure.
  • For Legal Compliance: We may disclose information if required to do so by law, court order, or government regulation.
  • Business Transfers: If Studio Wand is involved in a merger, acquisition, or asset sale, your information may be transferred as a business asset.

5. Children's Privacy (COPPA Compliance)

Studio Wand provides management tools to businesses. While our platform is used by studios to manage information regarding children (minors), the platform is not directed to children under the age of 13.

Studio Responsibility:Studio owners are solely responsible for obtaining parental consent before inputting any personal data of children under 13 into the Service, in accordance with the Children's Online Privacy Protection Act (COPPA).

6. Data Security

We implement robust, industry-standard administrative, technical, and physical security measures to protect your information from unauthorized access, loss, or alteration. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention & Your Rights

Data Portability & Deletion:Studio owners can access, update, and export their studio's database at any time through the platform's standard export tools.

Retention: We retain data only for as long as your account is active or as needed to provide you with the Service. Upon account termination, data is retained for up to 30 days before being permanently deleted from our active databases.

Right to Data Purge:After cancelling your account, you have the right to request the immediate and permanent deletion of all your data at any time by contacting our support team. Upon receiving a verified purge request, we will permanently and irrevocably delete all account data — including studios, classes, student records, enrollment history, attendance records, transaction records, events, memberships, and any other associated data — from our active systems. This action cannot be undone. We recommend using the platform's data export feature to download a copy of your data before requesting a purge.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page with an updated "Last Updated" date and sending an email notification.
